Cardknox Mobile App Guide

 

Overview

The Cardknox app enables you to accept customer payments on your Android or iOS smartphone device. You can also process refunds and voids.

All transactions that you process on the mobile app are synced to the Cardknox Merchant Portal, which you access via a browser on your computer. So you can keep up with your business transactions even while you’re on the go!


Get Started

To get started, you need to download the Cardknox mobile app. Where you download the mobile app depends on your phone’s operating system: iOS or Android.

Download the App

On your smartphone, download the Cardknox app:

  • Android device: Search for “Cardknox” in the Google Play Store.

  • iOS device: Search for “Cardknox” in the Apple App Store.

Log In

Once the app is installed on your phone, you can log in using your existing Cardknox username and password. If you are not yet a Cardknox user, you can register here.

Set the Desired Account

If you work with multiple accounts, it’s important to set the account before you begin making transactions. To do this, tap the pink down arrow (upper right of the screen) and select the desired account from the dropdown list.

Log Out

To log out:

  1. Tap the pink down arrow:

  2. Tap on Logout in the upper right corner.


Screen Features

The Charge/Refund screen is the first screen displayed after you log in:


Charges and Refunds

Note: If you prefer, you can start the refund on the Transaction Details screen, which auto-fills many fields for you.

  1. If you are on the Transaction Details screen, tap the small Cardknox icon at the top center:

  2. Type in the amount in the center of the screen.

     

  3. Tap the Charge or Refund button.

  4. Fill in the remaining fields that are displayed. Required fields are noted on the screen:

     

    Notes:
    - If you need to change the amount, tap Back in the upper left corner to return to the previous screen.
    - Tap Clear all to remove information from all of the fields.

  5. Tap the Process Transaction button.


Transactions

From the Charges/Refund screen, tap Transactions in the upper right corner. This part of the mobile app enables you to:

  • View a list of transactions

  • Filter the list of transactions

  • View detail information for each transaction

  • Send an email receipt for a transaction

Transaction List

To view a list of recent transactions, from the Charge/Refund screen, tap Transactions in the upper right corner. By default, the last seven days of transactions displayed, sorted in the order they were processed, with the most recent at the top.

Change the Date Range Displayed

On the Transaction List screen, tap Last 7 days (directly across from the text “Transactions”). The mobile app displays various time periods for which you can display transactions, such as Yesterday, Today, Last 30 days, etc. Tap one of the time periods.

Filter the Transaction List

To filter the transactions list:

  1. Tap the filter icon in the upper right corner:

  1. Choose which type(s) of filter to apply:

  • Amount - Tap and type in the amount.

  • Card number – Tap and type in the last four digits of the card.

  • Cardholder name – Tap and type in a name.

  • Transaction type – Tap once to open a list of transaction types. Tap to select one or more of the following types:

    • Sale

    • Auth

    • Capture

    • Credit

    • Refund

  1. Tap Done (upper left corner) to view the filtered list.

Remove Filters

Above the transactions list, the mobile app displays any filters that have been applied:

Tap the X on the filter to remove it.

OR

To remove all filters, tap Clear Filters.

Go Back to Charge Screen

To go back to the Charge screen, tap the plus sign in the bottom center of the screen:

Transaction Details

To access the details of a transaction:

  1. From the Charge/Refund screen, tap Transactions.

  2. Tap the transaction for which you want to see detail.

  3. Use the buttons on the lower part of the screen to perform actions on the transaction: Void, Refund, or Adjust.

Void a Transaction

Tap the Void button. The mobile app displays a message asking you to confirm the void transaction. Tap the Void button on the confirmation message.

Refund (Transaction Detail)

  1. Tap the Refund button.

  2. On the Refund screen, select Full Refund or Partial Refund.

  3. If this is a Partial Refund, type in the refund amount.

  4. To add any notes to the refund, tap on the Description field and type.

  5. Select the Send receipt checkbox to send a refund receipt to the customer.

  6. Tap the Refund button.

Adjust

  1. Tap the Adjust button on the Transaction Details screen to make changes to the:
    - Transaction description
    - Order ID
    - Custom fields 01 - 03

  2. After making changes, tap the Save button in the upper right corner.

Email a Transaction Receipt

  1. From the Transaction Detail screen, tap the envelope icon in the upper right corner:

  2. The mobile app displays a pop-up:

  3. Fill in the Email field.

  4. Select the checkbox to receive a copy of the receipt via email.

  5. Tap the Send button.

Q: How do I get started with the Cardknox Mobile App?

A: If you’re already a Cardknox customer, all you need to do is download the mobile app:

  • Android device: Search for “Cardknox” in the Google Play Store.

  • iOS device: Search for “Cardknox” in the Apple App Store.


Q: Do I need another username/password to log in to the mobile app?

A: You do not need a different username/password. Use the same credentials that you use when you log in to the Merchant Portal with your browser.


Q: Where do I select my Cardknox account in the mobile app?

A: On the Charge/Refund screen, tap the pink down arrow (upper right of the screen) and select the desired account from the dropdown list.

A: Type in an amount, tap Charge, fill in the fields, and tap Process Transaction.

A: You can refund a customer from either the Charge/Refund screen, or the Transaction Details screen:

Q: How do I filter the transactions list?

A: On the Transactions screen:

  3. Tap an option to choose it as a filter and type in (or select) the specific filter criteria. You can choose more than one filter at a time.


Q: How do I remove any filters applied to the transactions list?

A: The mobile app displays any filters above the transactions list. Tap the X on the filter to remove it. Or, to remove all filters, tap Clear Filters.


Q: How do I see details for a transaction?

A: From the Charge/Refund screen

  1. Tap Transactions.

  2. Tap the transaction for which you want to see detail.


Q: How do I email a transaction receipt to a customer?

A: From the Transaction Detail screen:

  1. Tap the envelope icon in the upper right corner:

  2. Fill out the fields on the pop-up.

  3. Tap the Send button.


Q: How do I log out?

A: On the Charge/Refund screen:
